Privacy Policy

Design draft notice: this page is a good-faith first draft grounded in how HootDM actually works today. It has not been reviewed by a lawyer and must not be published or relied on as-is — have it reviewed for your specific jurisdiction and obligations (including GDPR, CCPA, and India’s DPDP Act) before it goes live.

1. Introduction

This policy explains what information HootDM (“we,” “us”) collects when you use our website, web application, and Chrome extension (together, the “Service”), why we collect it, and the choices you have. By using the Service, you agree to the collection and use of information as described here.

2. Information we collect

Account information. When you register, we collect your name, email address, password (stored hashed, never in plain text), and timezone.

LinkedIn data, via your own session. The HootDM Chrome extension acts through your own logged-in LinkedIn session to carry out actions you configure — searching profiles, sending connection requests, sending messages, and reading your connections list and conversation status (not message content) to check for acceptances and replies. We store the LinkedIn profile data of leads you choose to source (name, headline, profile URL, and similar public profile fields) and a record of the actions taken and their outcomes.

Payment information. Subscription payments are processed by Razorpay. We do not store your card, UPI, or bank details ourselves — we retain only the subscription and payment records Razorpay provides us (amount, status, payment method type, timestamps) for billing history and support.

Usage & support information. We collect basic usage data (pages visited, features used) and any information you provide when contacting support or submitting a support ticket.

3. How we use your information

  • To provide and operate the Service — running your campaigns, sourcing leads, sending messages, and tracking outcomes as you’ve configured them.
  • To process payments and manage your subscription, trial, and billing history.
  • To send account-related emails — email verification, password resets, trial and billing notifications, and support ticket updates.
  • To provide customer support and respond to your requests.
  • To maintain the security and integrity of the Service, including detecting abuse.

4. The Chrome extension & your LinkedIn session

HootDM’s extension is intentionally lightweight: it relays instructions from our backend and executes them through your own authenticated LinkedIn browser session, then reports the result back. It does not operate a separate, hidden LinkedIn account or browser profile on your behalf. Your LinkedIn login credentials are never entered into or stored by HootDM — the extension uses the session your browser already has when you’re logged into LinkedIn normally.

Using any automation tool with your LinkedIn account, including this one, carries some inherent risk under LinkedIn’s own terms — see our Terms of Service for more on this.

5. Third-party service providers

We share the minimum information necessary with the following categories of providers to operate the Service:

  • Payment processing — Razorpay, to process subscription payments and manage billing.
  • Transactional email — our email delivery provider, to send verification, password reset, billing, and support-related emails.
  • Hosting & infrastructure — our cloud hosting provider, to run the application and store data.

We do not sell your personal information to third parties.

6. Cookies & analytics

We use essential cookies to keep you logged in and to remember basic preferences. We may use privacy-respecting analytics to understand aggregate usage of the marketing site and application; this policy will be updated with specifics once an analytics provider is finalized.

7. Data retention

We retain your account and campaign data for as long as your account is active. If you delete your account, we remove or anonymize your personal data within a reasonable period, except where we’re required to retain records (for example, payment records) for legal or accounting purposes.

8. Data security

We use industry-standard measures — encrypted connections, hashed passwords, and access controls — to protect your information. No method of transmission or storage is 100% secure, and we can’t guarantee absolute security.

9. Your rights & choices

Depending on your location, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. You can update most account information directly in Settings, or contact us to make a request.

10. International data transfers

HootDM is operated from India, and your information may be processed and stored on servers located in India or other countries where our hosting and service providers operate.

11. Children’s privacy

The Service is not directed to anyone under 18, and we do not knowingly collect personal information from children.

12. Changes to this policy

We may update this policy from time to time. If we make material changes, we’ll notify you by email or through a notice in the Service before the change takes effect.
